Maintaining the Field List

To view all data fields as a list press F4. This list is in Sequence # which is an attribute that can be manually changed to ensure that the list is maintained in whatever order that works best for your company. Some System Administrators like to keep all of the System Protected Fields at the top of the list in order as they first appeared and alphabetize their own custom data field ID's with all the A's, D's, H's, N's, T's & Z's in strict order. Others have grouped various field ID's by department use or common value. The can of course elect to continue with the Sequence # assigned by ActionWare. Each new field will appear at the end of the listing, etc.

We encourage the System Administrator, though, to consider manually resequencing the file so that when you do reports using an external program such as IBM's Query for the iSeries, finding the field ID you want is simple and straight forward. It is also helpful to have the field ID's in some order (other than random) when creating or maintaining Shell or template letters using our Microsoft Word Interface (MSWI).

The following sample list starts with many of the System Protected Fields (but not all) and continues with custom designed Fields following. It is only a sample list and may not look like yours. Please note that in this sample list the System Administrator physically changed the Sequence #'s so that they were in order by type of Field.

Alternate Method of Changing a Field ID:

You need to be very careful when you change existing fields because of the data that might be in the field and or how the field might be used on another Data Layout. If the change is to shorten the length of field you should check the data first by using an external query product to view the data. If you shorten the field will it eliminate any of the data in any of the Data Layouts? Perhaps it would be better to create a new field rather than shorten an existing field. Another consideration is Copy Clear and Propagate attribute values. Is the field being used on another Data Layout where those properties might be important? If so you should not change the existing field.

To change a field, position to that field ID key a 2 next to it and press enter. Change desired attributes carefully as explained and press enter to save.

Alternate Method of Adding a Field ID:

Another method of creating a new Field ID is to copy an existing Field ID by positioning to the Field ID to be copied, key a 3 next to it and press enter. The Add a New Field screen appears with the following prompts:

Field being copied: ... ___ .......label.;.label.;.label.;

The default Field being copied will be the Field ID where you keyed 3 for Copy. The labels displayed will be for field being copied as well. The default for the Type is also the field being copied. To add a new field you need to key a new Field ID (Field name) and press enter and the new field will be added. The attributes will be identical to that of the copied field.
