Recurring Activities

It is possible to create multiple activities, on a contact record, that are recurring (or repeating) for a specified period of time. The opportunity to create recurring activities happens only when adding a new unrelated activity (A, Add and A, Activity). At that time a field with the label Recurring is available to update to Y (Yes) rather than the default of N (No). This field is accessible only if you use F10 to work with the extended Add Unrelated Activity window. The Recurring field is after the End time field and before the Description field.

If you update the Recurring field to Y (Yes) and Press Enter you will see a new window as follows:

1=daily, 2=weekly

 

3=every other week

 

4=monthly, same date

 

5=monthly, same relative day, for example, every 3rd Thursday

   

The options available are intended to be self explanatory. You have five choices:

The initial unrelated activity will be repeated daily for a defined time period

The initial unrelated activity will be repeated weekly for a defined time period

3

The initial unrelated activity will be repeated every other week for a defined time period

4

The initial unrelated activity will be repeated every month on the same date for a defined period of time

5

The initial unrelated activity will be repeated on the same relative day for a defined period of time. The example in the prompt is every 3rd Thursday

If you choose Sequence 2 through 5 you will see the following screen:

The start date of your recurring activities is the date of your initial unrelated activity. You define the end date in this screen. Key an end date and press enter. ActionWare will create an activity identical to your initial unrelated activity, on the contact record, for as many times as necessary to meet the criteria you defined in choosing Sequence 2 through 5. These activities will continue until your defined end date is reached.

If you choose Sequence 1 you will see the following screen:

The start date of your recurring activities is the date of your initial unrelated activity. You define the end date in this screen. Key an end date and and choose any days (expressed as 1 through 7) that you do not want the activity to be created, press enter. The days that you defined will be skipped. ActionWare will create an activity identical to your initial unrelated activity, on the contact record, for as many times as necessary to meet the criteria you defined in choosing a Sequence 1. These activities will continue until your defined end date is reached.

Changing Recurring Activities

If you make a change to any recurring activity, ActionWare prompts a warning that multiple entries (activities) exist and asks if you want to recreate all entries. The default is N (No).

F12 = Cancel

If you choose Y (Yes) all pending recurring activities will be changed according to whatever change you have made to this activity. If you choose the default N (No) than only this activity will be changed. You must Press Enter after making a choice.

Although you can change one or all recurring activities in this manner you can not change the Recurring field in the activities to undo them. Once an activity has been created with multiple entries they can not be changed to a single activity.
