Setting Up Email

ActionWare is capable of both Inbound and Outbound email in version 6.20 and higher. The SetUp for email is very environment and System dependent. For this reason an individual email setup necessitates a custom install which requires billable services from our Technical team. There are three optional ways of handling email in ActionWare. They are:

  1. An option on the Word Processing menu to send a single document from any folder, along with a 256 character plain text message. The user can nominate any number of email addressees, the default will be the email address from the current contact record. The user can nominate any subject, the default will be the description from the selected document. The document name can be entered, or it can be prompted for. The email is sent using the OS/400 SMTP engine.

  2. An option from the main ActionWare contact screen, while any panel combination is displayed, to send an email to the person who is the current contact record. When requested, it creates an Outbound Email Activity, with a status of In-Progress, it then launches Outlook Express with the email address from the contact record filled in, and a special email address in the "Blind Copy" address line. The user then interacts with Outlook Express in the normal way, with no restrictions. This includes using plain text or HTML format, attaching any number or type of attachments, and adding additional recipient email addresses. T he only requirement is that when the user sends the email, the pre-filled Blind Copy address must remain. This causes a copy of the email to be sent back to the iSeries (AS/400). An automatic Email Monitor program running on the iSeries (AS/400) receives, processes and stores the email. The status of the In-Progress activity is changed to Completed, and the subject line from the email is added as a Note. This stored email is an exact copy of what the user sent, complete with format options, and attachments. This email is stored by default in the ActionWare Company folder for the current contact. It can subsequently be displayed by selecting option 5 from the company document list, or by pressing F17 from the Expanded Activity window. The selected email will display in Outlook Express.

  3. An option from the main ActionWare contact screen, while any panel combination is displayed, to file an email on the iSeries (AS/400) (AS/400) which was initially received from a customer by Outlook Express, or any other email program. When this function is requested, ActionWare creates an Inbound Email Activity, with a status of In-Progress. The user then moves to Outlook Express, and Forwards the email to a special address, this address is on the iSeries (AS/400) computer. The email so forwarded can be any type of email, this includes an email which is plain text or HTML format, with any number or type of attachments. The user then Sends the email to be sent to the iSeries (AS/400). An automatic Email Monitor program running on the iSeries (AS/400) receives, processes and stores the email. The status of the In-Progress activity is changed to Completed, and the subject line from the email is added as a Note. This stored email is an exact copy of what the user forwarded, complete with format options, and attachments. This email is stored by default in the ActionWare Company folder for the current contact. It can subsequently be displayed by selecting option 5 from the company document list, or by pressing F17 from the Expanded Activity window. The selected email will display in Outlook Express.
