Setting Up the WORD Interface (MSWI)

Microsoft Word Interface (MSWI) is a set of programs that allows our product, ActionWare (AW), to interface with the Microsoft Word (WORD) product on a PC workstation. We also provide a program called PC Command Links (PCL) that is used to facilitate the passing of commands back and forth between the PC and the Licensed iSeries (AS/400).

Disclaimer: We support the MSWI software but we do not support the Word program. Microsoft Corp. manufactures Microsoft Word and they support their registered users. Our Interface programs will:

The interface requires product installations and setups that must be done on the iSeries (AS/400) as well as the PC workstation. AW400 versions 6.01 and later require use of WORD2000 exclusively. If you are not on version 6.01 and want to use WORD2000 you will need modified programs. Please call our support team at 510-595-4700 or contact them by email at: support@actionware.com.

These instructions contain all iSeries (AS/400) and PC Workstation setups. You will need to know your IP address to complete the instructions. They will cover the following:

Rules for Any ActionWare to PC Function

  1. Be running at a minimum Windows 98/98SE/ME with service pack 1 installed, Windows NT with service pack 5 installed, Windows 2000 with service pack 1 installed.

  2. Be running Client Access for Windows 95/NT with service pack SF64050 installed, or Client Access Express V4R4 with service pack SF64474 installed, or Client Access Express V4R5 with service pack SF64217 installed.

Activating The Oae On The iSeries (AS/400)

Installation on the iSeries (AS/400) requires that the 'Office Applications Enabler' be activated on the system. Performing this step as QSECOFR provides this function. Signed on as QSECOFR, start at the foot of your AW400 main menu (cmd AW4LM). Type the following command on your iSeries (AS/400) command line and press enter:

CALL WFSETUPAS4

After performing this command, you must verify that a message has come back stating that the process ended successfully.

Mapping the I Drive

In our instructions we use I as the network drive. You are welcome to define another drive for that purpose. If you use any drive identification other than the I drive you will have to update the Extended Master Control Option (EMCO) with the keyword IBMDRIVE. For more information on EMCO's see related topic:

The "I:\" drive must be mapped as the network drive. If using IFS, then the 'I:\' drive needs to mapped to \\System Name\QDLS\'.

  1. On your desktop, Double-click on Network Neighborhood.

  2. Click on Start on your taskbar, position to Find, Click on Computer.

  3. Type: your IP address (xxx.xxx.xxx.xxx.xxx) in 'Named:' Click on Find Now.

  4. Right click and drag the found computer from the dialog box to the Entire Network list in Network Neighborhood

  5. When prompted, click on 'Create Shortcut Here' in Network Neighborhood.

  6. Click once on the new shortcut, wait 3 seconds and single click again to rename the shortcut. Remove the words 'Shortcut to' so just the IP address remains.

  7. Single-click on the shortcut with the IP address.

  8. If prompted to 'Enter Network Password', enter your UserID and Password.

  9. Click on Map Network Drive button

  10. On the Drive prompt, Click on the down arrow and select 'I' Drive

  11. On the Path prompt, Click on the down arrow and select \\xx.xx.xx.xx.\Idrive

  12. Check the 'Reconnect at Logon' prompt.

  13. Click on OK.

  14. Depending on how Windows Explorer is setup on your PC, either a new window will appear or the current window will display the subfolders for the I:\ drive.

Your Network Drive is now mapped

The System Distribution Directory

If Word Processing has never been performed on the system before, there is a chance the users were never enrolled in the "System Distribution Directory." The users will need to be enrolled by the QSECOFR or another user with *ALLOBJ level of authority. This setup is an IBM requirement necessary to allow users access to folders.

An IBM restriction is that userID's be limited to 8 characters.

The WRKDIRE command is used to add users.
Check to see if users have *ALL authority to the folders AW4 and AW4/SHELL
The WRKFLR command is used to view folders.

  1. Use Option 14=Authority next to Folder AW4, press enter

  2. Public authority value should be: *ALL

  3. If not change the value, press enter and F12 back to Work with Folders

  4. Use Option 3=Next level next to Folder AW4, press enter

  5. Use Option 14=Authority next to Folder SHELL, press enter

  6. Public authority value should be: *ALL

  7. If not change the value, press enter Use Option

System Options to Update:

  1. From the ActionWare main menu. (AW4LM on a command line)

  2. Option 4 - Administration menu.

  3. Option 2 - User Enrollment and Security.

  4. Press F5 for System Options.

  5. Locate Option 16 - Allow Access to Office Word Processing, Change this Option to Y for Yes

  6. Locate Option 44 - WP Editor, Change this Option to 'M' for MS Word

  7. Locate Option 57 - PC Commands, Change this Option to 1 for PCL

  8. Locate Option 58 - Which Word Processor? Change this Option to 0 for Both

PCL Rules

PCL (PC Command Links) is distributed with ActionWare. The software facilitates communication between the iSeries (AS/400) and the PC. It is required if using MSWI in ActionWare.

  1. Make sure that you are using version 1.30 or later of PC Command Link. To determine the version, right click on the PCL icon in the status area of the task bar. If you have an older version contact ActionWare support, we can email you and update by attachment.

  2. UserID's are restricted to 8 characters only because of the IBM System Distribution Library.

  3. The same UserID must be logged on to the PCL monitor as is signed on to the iSeries (AS/400) 5250 emulation session. Depending on how the PC is configured, the PCL monitor will either automatically run under the Windows logon, or will separately prompt the user for a logon when it is launched.

  4. Each occurrence of the PCL monitor running on a PC must be running under a different User Id. If the same user goes to a second PC and launches the PCL monitor, the iSeries (AS/400) will continue sending commands and data to the first PC.

  5. The name of the iSeries (AS/400) as defined to Client Access must be the actual System name of the iSeries (AS/400) . To determine the iSeries (AS/400) System name enter the command DSPNETA.

  6. If you are using multiple iSeries (AS/400) 's than the production iSeries (AS/400) must be the System Default iSeries (AS/400) for Client Access.

Installing PCL on a PC Workstation

Download the latest version of PC Links (PCL) to the "I" drive on your iSeries (AS/400) from our website:

  1. Using Windows Explorer

  2. Click:on the I Drive

  3. Click:on the AW4 folder

  4. Click: PCAPPS folder

  5. Click PCL folder

To begin the installation:

  1. Double Click on PCL_1_30.EXE
  2. Click NEXT and accept all defaults
  3. ClickFinsh

When the installation is complete, the new directory called AW400\AWPCL exists on the C drive (or the selected hard drive). The PC Monitor program in this directory must be loaded each time Client Access is initiated on the PC. If PCL not active, the PC function will not execute. This is signaled by a message indicating that the requested PC activity has not been completed and control has been returned to the iSeries (AS/400) session. If the PC Monitor program is active, an icon is visible on the PC status area of the task bar. The program runs in minimized mode. If the PC Monitor program needs to be restarted, find the appropriate icon, and click it. Then retry the function again.

Installing MSWI on the PC Workstation

Download the latest version of Microsoft Word Interface to the "I" drive on your iSeries (AS/400) from our website:

To install the program files for the Microsoft Word Interface on the PC, copy the program files installed on the "I" drive to your Windows directory and other locations.

  1. Using Windows Explorer
  2. Click: on the I Drive
  3. Click: AW4 folder
  4. Click: PCAPPS folder
  5. Click MSWI folder

To begin the installation:

  1. Double Click:on SETUP.EXE .......When you are asked whether to proceed with the install:
  2. Click:Yes...........................................When the installation is complete:
  3. Click: OK

Miscellaneous Tasks:

If you have a permanent connection to the iSeries (AS/400) you can have PCL start automatically at signon:

  1. Right Click on the START button
  2. Click on Open
  3. Click on Programs
  4. Click on Startup

Move the window off to the side, by dragging it (Click once on the Start menu bar at the very top and move the box), so that you can see still see it but also work with other boxes.

  1. Click on START
  2. Click on Programs
  3. Click on AWPCL and you will see the PCL icon
  4. Right Click on the ICON and hold it down, drag the PCL icon into the Startup box.

Reboot and thereafter as you sign on the PCL programs will launch automatically.

How to use MSWI in ActionWare & Save a Document:

To use WORD in ActionWare all setups must be completed on your PC - they will only need to be done once. However, each time you use WORD you will need to:

    have the "I" drive on your PC open

    have PCL active on your desktop.

When you use "W" on a record our programs launch WORD and provide a data source for merge documents. You will need to:

  1. Click on the tab for WORD, to work with your document.
  2. Click on FILE, CLOSE and SAVE, when finished with the document

Do NOT use any other method to save your document!

  1. Click on the tab for the iSeries (AS/400) session
  2. Wait a few seconds while the PC communicates with the iSeries (AS/400)
  3. Press enter until a prompt for the document description appears
  4. Type a description for your document
  5. Press enter twice to return to your record. You will note that an activity has been automatically created and completed for you on your record. If you use F10 twice you will see the document name appears in the description field of the completed activity. Thereafter if you highlight this activity and use F14 and F17 you can view the document from the activity.

Your document has been filed in a folder using the PID of the record you were on when the document was created. The document name is the SID of that record with an automatic integer starting with 001. Each subsequent document on this record will be incremented by 1.

In ActionWare we provide several "sample" WORD documents for 1st time users. If you are familiar with WORD than you may create documents at will. All Shell (template) documents should be filed in folder AW4/SHELL. You will need to use F14, rebuild the folder if you add a SHELL from scratch.

CREATING A SHELL DOCUMENT USING COPY AND REVISE

It is much easier to use our sample Shell (template) documents than to create one from scratch.

Follow these simple steps:

From any record, press "W" for word processing.

  1. From the Word processing menu, Use option "W" to "Work with Shell documents in folder":
  2. Position to SHELL.LT0
  3. Use option 3 to "Copy" SHELL.LT0, press enter
  4. Change the three-letter suffix to your initials or XXX.
  5. Locate the new SHELL.XXX document in the list.
  6. Use option 2 to "Revise" your SHELL.XXX document.
  7. Refer to "UPDATING MERGE FIELDS USING THE MSWORD MAIL MERGE HELPER"

When done making your changes, save the changes by clicking on "File" on your menu bar, then on "Close". You will be prompted "Do you want to save the changes in SHELL.XXX?" Click "Yes." *Note - Do NOT use any other method to save your document!

UPDATING MERGE FIELDS USING THE MSWORD MAIL MERGE HELPER

  1. Click on "Tools" on your menu bar.
  2. Click on "Mail Merge"
  3. Click on "Create"
  4. Click on the document type you wish to use for the Shell document
  5. Click on the active window
  6. Click on "Get Data"
  7. Click on "Open Data Source"
  8. Type the following path: C:\TM4PCF\WPLG.CDF
  9. Click on "Setup Main Document"

SINGLE LETTER MERGE

  1. From your desired Contact Record.
  2. Use "W" for Word processing.
  3. Use the <Tab> key.
  4. Type the three-letter suffix of your Shell document, SHELL.XXX.
  5. in version 6.01 or higher, Press Enter

    WORD will launch and the data will be merged

When done making your changes, save the changes by clicking on "File" on your menu bar, then on "Close". You will be prompted "Do you want to save the changes in SHELL.XXX?" Click "Yes." *Note - Do NOT use any other method to save your document!

MASS MAIL

  1. With a filter active in ActionWare
  2. Use "O" for options.
  3. Use "O" for filter options.
  4. Use "M" for Mass Mail.
  5. Enter the name of your SHELL.XXX document the default on processing method is 1 or only print letter, no activities. You can also use 2 to automatically create and complete activities on each record based on the mailing (filter) or 3 to prepare the documents and not print them.
