ActionWare System Fields

ActionWare System Fields: These are fields that can't be moved from their position on the contact record, or have the field label or length of field changed. The data in these system fields is used to search functions in the database. Two of those fields, the Primary (PID) and Secondary (SID) fields, together, form a unique combination in the database that can't be duplicated. When new contact records are created our programs will check to ensure that no other PID/SID combination exists so that duplicates of the same data are not allowed. You will be prompted by those programs to resolve any problems detected that maybe duplicates. All of these fields exist above the top screen bar on a contact record. PID

PID

The main index field for contact records. The data is automatically created by ActionWare, which uses it as the primary method to organize records in a sequence. It's the most important lookup field you use to go to a record directly. It can contain up to ten characters. This field is used by the GoTo function to search for a contact record based on the data in the field. The PID data is also the folder name used to file documents if you use wordprocessing within ActionWare.

SID

SID

This field is the second most important index field for contact records. The 1st two positions of data in this field determine which data layout is to be displayed for a contact record. The data is automatically created by ActionWare and can contain up to ten characters. This field is used by the GoTo function to search for a contact record based on the data in the field. The SID data is also used as the document name (plus an integer) if you use wordprocessing within ActionWare.

TID

This field is a 15 character field. The data is NOT automatically created by ActionWare. This field is used by the GoTo function to search for a contact record based on the data in the field

OWNERS

OWN

This field is a 10 character field. The default for the data is the userID of the person who initially created the contact record. The OWN field is used by our security programs to limit access to the contact record. These security programs are optional and are setup by your System Administrator.

No label

OW2

This field is a 10 character field. It has no label and is located to the right of the OWN field. The data in it can be whatever you like.

The data in the PID or Primary ID field maybe the same for several contact records. Multiple records with the same PID data is called a PID group. Each contact record has different data in the SID or Secondary ID field but all have the same data in the PID field. The data using the example of ABC Company would look like this:
