Activity Example

An example for a simple unrelated activity and activity note: You want to create an activity for yourself so that you can remember to make a telephone call to ABC Company and speak with Dave J. Cunningham in two days time. The conversation will be about a sale that will occur in his region in the upcoming month. You want to let Dave know that he can save 15% next month so that he knows that he can save money on his next order.

GoTo a Secondary ID field (SID) of CUNNINDJ to search for Dave's contact record. You could also search on the company name by using GoTo for the Primary ID (PID) of ABC and than using F4 or the special key of K (Kid list) for all contact records for ABC Company. If you use that method of searching you will need to select CUNNINDJ from the list. Once you have the desired contact record the following keystrokes will result in a pending activity on your ToDo list with an activity note to help you in two days time to remember what you wanted to say to Dave.

This activity will become current in two days time and will appear on your ToDo list as pending. When that date occurs all you will have to do is position your cursor on that activity on your ToDo list and Press Enter. This action will move you to Dave J Cunningham's contact record with your pending Sales Call activity bar highlighted. You will also be able to see the activity note so that you know why you wanted to make the call.

How to complete the sample activity:

To View your ToDo list, key V (View) and T (ToDo list)

On the day that your call to Dave J. Cunningham at ABC Company becomes due, your pending activity will appear on your ToDo List which is sorted by priority A, B & C, data, time, PID and SID:

This is a B3 priority Action Telephone Outbound activity for ABC Company on Dave Cunningham's contact record

If this pending activity is not the first one on your list - move your cursor to the activity for CUNNINGDJ and press enter. The ToDo list programs will take you to Dave Cunningham's record and display the activity Panel 7 with this activity highlighted. You will be able to tell from the activity note that you are to make a sales call to Dave.

Now that you are on the correct contact record you will need to dial the phone, once you have reached Dave and start talking to him you will want to press D (Dial). This action will change the Status of the activity from PENDNG (Pending) to INPROG (In progress) and start a timer for the call. The timer will appear in the top most bar on the contact record screen. It is not a clock, but a timer and will update everytime to make a keystroke. Now that the activity is pending and the timer has been started you will want to record the substance of the telephone call. Press F9 to extend the current activity note and begin typing the telephone call. Your screen will look like this after you have typed your activity note:

placed on Monday and the new month starts on Tuesday, he will delay the order by one day to take

advantage of the discount. He was very grateful that I called and will increase the order so that he can

increase the savings. I also told him that placing the order on Tuesday will have no effect on the

shipping date. It still will go out on Thursday as normal. He told me that he loves doing business with our

company because we save him money an have wonderful products and very good customer service.

We make his job easy. I made him laugh because I told him he makes my job easier because he always

Press Enter after you have finished talking to Dave. This will place the activity note on the screen directly under the highlighted activity bar. Now you will want to complete the INPROG activity because you have hungup the telephone. Simple press H (Hangup) and the activity will be completed, the timer stopped and the duration of the call will be placed in a data field. You will be prompted to enter a RESULT code into a data field on another panel. Use the listbox feature F4 or type SLS to indicate that the call result was a Sales Call and press Enter. This data can be used in the future for reports on call duration and result. You can also obtain reports on pending and completed activities plus their respective activity notes. 

You will be automatically be moved back to the activity Panel 7 on Dave Cunningham's contact record once you have entered data in the Result field. Your completed activity and activity note will look like this:

This activity and activity note will remain on Dave's contact record in chronological date order as history. When you completed the activity it was removed from your ToDo list. You can continue working in your ToDo list if you like simply by moving forward and backward. You move forward through your ToDo list by pressing F (forward) or B (backward). The programs know you are working in your ToDo list because the View and Sequence of the database was automatically changed to VIEW: TO-DO and SEQUENCE: PTY (priority).
