Adding an Unrelated Activity

GoTo the contact record desired.

An unrelated activity is the starting point for any activity. Activities are created and maintained on Panel 7 of a contact record. The bar in the middle of the screen contains labels for the fields in an activity. The labels for those fields are:

Date

Date of activity. Today's date is the default.

When

Time of the activity, if any.

Target

Target is the userID of the person will have the activity on their ToDo list

Author

Author is the userID of the person who created the activity or changed it after creation

Type

There are five types of activities. Actn, Info, Resp, F/Up, ????. Info is the default

Method

There are five methods and they are Tele, Hdoc, Fdoc, Vist, Iact. Iact is the default

Code

This is a blank 8 character field. You may key what you choose or use a listbox.

SID

Secondary ID data for the contact record you are viewing

Status

Status of the current (highlighted) activity. Pending is the default

Ver

Version of the current (highlighted) activity. 1 (one) is the default of a new activity

Use A (Add). This opens the Add a new pop-up window with a menu that includes A (Activity).

A pop-up window to add a new unrelated activity appears with defaults. Use this screen to further define your new activity. Initially the method and direction fields are not displayed until you have chosen an Action activity type.

You can key any date desired. 1D, 1W, 1M is a shortcut for 1 day, 1 week or 1 month for automatic corresponding dates. You can change the number for day, week or month any value, 2D, 3W, 2M or you can key the exact date you want.

Two fields expressing Importance with values of A, B, C and Urgency with values of 1, 2, 3, 4, 5 and 9 (on hold list)

Two fields with possible values of Y (Yes) or N (No). Urgency values of 1 or 2 will automatically be set to Y. Yes means that a break message will be sent to either the Target (1st field) or Author (2nd field) whenever the activity is changed or completed

Eight character field intended to further identify the activity when it is on a list. You can create a listbox on this field

If you change the default activity type from INFO to ACTN (Action) you will be prompted for the method and direction fields as well:

These are the minimum activity fields that are required to add an unrelated activity. Press Enter once you have completed all values. A new activity bar will appear across Panel 7 on your desired contact record. An activity is more effective if you also add an activity note. To add an activity note:

Adding an Activity Note: Use F8 to add an activity note. This opens a screen of lines with the date, time stamp and userID. Where the cursor is blinking you may start typing whatever text would help you to further define the activity, Press Enter.

Editing an Activity Note: To edit an activity note you position your cursor either at the beginning of the activity note or on the line that you would like to edit and press F8. Make your correction and Press enter.
